NESRO Constitution
The official constitutional framework and governing bylaws of the Nepalese Society of Radiotherapy and Oncology.
We, the radiation oncologists, medical physicists, radiotherapy technologists and associated oncology professionals of Nepal, recognizing the need for a unified professional body to advance the standards of radiotherapy and oncological care in our nation, do hereby establish the Nepalese Society of Radiotherapy and Oncology (NESRO) and adopt this Constitution as our governing framework.
Name and Registered Address
1.1 The Society shall be named the Nepalese Society of Radiotherapy and Oncology, hereinafter referred to as NESRO.
1.2 The registered office shall be located in Kathmandu, Nepal, or at such other address as the Executive Committee may determine.
1.3 NESRO is a non-profit, non-governmental professional medical society duly registered under the laws of Nepal.
Aims & Objectives
2.1 To advance and promote the science and practice of radiotherapy and oncology in Nepal.
2.2 To establish and maintain clinical standards and ethical guidelines for the practice of radiation oncology.
2.3 To promote postgraduate education, training, and continuing medical education (CME) in radiotherapy and oncology.
2.4 To foster research and publish relevant findings in radiation oncology and related disciplines.
2.5 To collaborate with national and international bodies in advancing oncology care and cancer prevention.
2.6 To advocate for equitable access to cancer treatment services across all provinces of Nepal.
Membership
3.1 Categories of Membership:
Life Member
Radiation oncologists and medical physicists with full voting rights and lifetime membership upon payment of the prescribed fee.
Associate Member
Postgraduate trainees, nurses, technologists, and allied health professionals supporting oncology care in Nepal.
Honorary Member
Conferred by the General Assembly to distinguished persons who have made exceptional contributions to the field.
3.2 Membership applications must be submitted to the Secretary General with the required documentation and prescribed fee.
3.3 The Executive Committee reserves the right to suspend or terminate membership for conduct unbecoming of a professional member, subject to a fair hearing process.
Executive Committee
4.1 NESRO shall be governed by an Executive Committee comprising: President, Vice President, Secretary General, Treasurer, Joint Secretary, and up to four (4) elected Members.
4.2 Executive Committee members shall serve a term of two (2) years and may be re-elected for a maximum of one additional consecutive term.
4.3 Elections shall be conducted by secret ballot during the Annual General Assembly. Candidates must be Life Members in good standing for a minimum of two years.
4.4 The Executive Committee shall meet at least four times per year. A quorum shall consist of a majority of members.
General Assembly
5.1 An Annual General Assembly (AGA) of Life Members shall be convened once each year, typically in conjunction with the NESROCON annual conference.
5.2 The agenda shall include: approval of annual accounts, election of Executive Committee members (in election years), and amendment of the Constitution.
5.3 Notice of the AGA shall be provided to all Life Members at least 21 days prior to the meeting.
5.4 A quorum shall consist of twenty percent (20%) of the Life Membership or twenty-five (25) members, whichever is lesser.
Finances
6.1 The funds of NESRO shall be maintained in a recognized bank account, with withdrawals requiring co-signatures from the President and Treasurer.
6.2 Annual accounts shall be audited by an independent chartered accountant and presented to the Annual General Assembly.
6.3 Membership fees, conference fees, grant funding, and donations shall constitute the principal sources of revenue.
Dissolution
7.1 NESRO may be dissolved only by a resolution passed by a two-thirds majority of Life Members at a General Assembly convened specifically for that purpose.
7.2 In the event of dissolution, all assets shall be transferred to a recognized medical or charitable institution in Nepal as determined by the General Assembly.
